GDPR COMPLIANT PRIVACY POLICY UPDATE EFFECTIVE FROM 25TH MAY 2018

We have updated our Privacy Policy Data Protection Act 1998 in line with the new data protection laws which come into effect on the 25th May 2018.

We take our data privacy responsibilities very seriously and we want you to understand and feel confident about how we collect, store and handle all your personal data that we hold.

How do we obtain your data?

You may have answered a job advertisement and have sent a covering letter together with your CV to us in an application for legitimate reasons to find employment. Once received this goes onto our CV database which is regularly maintained and updated with anti-virus software. By sending us your CV you are giving your permission for us to send this to third parties (i.e. law firms) in order to help secure you job opportunities.

You may have also applied through third party recruitment databases such as legal jobs boards in seeking employment.

We may also find your details on various legal jobs boards that we are registered with and have obtained your details that way or someone may have recommended our services to you.

Your verbal and/or written consent is obtained at the outset as we work with you in trying to find you employment.

Legals 4 Lawyers are registered with the ICO (Information Commissioner’s Office). Under the Data Protection Act, all personal data contained by us is strictly confidential. Your personal and professional information is to be used solely for recruitment purposes only.

Who do we share your personal data with?

We may share your professional and personal data with trusted third parties (for example, the Company/Law Firm in which you have applied for the role at the outset) and only in the process of trying to find you a job. These third parties will be to the Human Resources Manager of that firm, the Partner, Solicitor or Legal Professional who is coordinating the role to be filled. Your professional data (your CV) will be sent in the first instance and only if there is a job offer, will we then obtain your permission to pass to them your contact details in order for them to send you a contract of employment. With your permission, we may also submit your CV on a speculative basis to our clients.

We take all reasonable steps to ensure that we protect your personal data and are aware of their security obligations.

We limit access to your personal data to only those who have a genuine business need to know it in order to get your application registered with our consultancy.

We ensure at the outset that there is a contract registration form in place which include obligations in relation to the confidentiality, security and lawful processing of any professional/personal data shared in order to help find you employment.

We may be asked to share personal data with the law enforcement or other authorities if required to do so by law.

Your professional/personal data is never used outside of the United Kingdom area or passed to any marketing firms.

We will only use your personal data when contacting you to make you aware of relevant job opportunities for the purposes of helping you find employment.

How long do we keep your personal data?

Where there is a contract between us, we will keep your personal data for the duration of the contract and for a period of up to six years in order and to ensure we are able to comply with any contractual, legal audit, (f necessary and / or other regulatory requirements), or any orders from competent courts or authorities.

We will store your personal data on a secure computer system which is regularly maintained with antivirus software.

Unfortunately, the transmission of information via the internet is not completely secure. Although, we do our best to protect your personal and professional data, we cannot guarantee the security of your personal/ professional data transmitted to our website; any transmission is at your own risk. However, once we have received your personal/professional data, we will use strict procedures and security to prevent unauthorised access.

Your Rights

Under the GDPR, you have various rights with regards to our use of your personal/professional data in which you have provided, however you will have provided this information to us in trying to obtain for you employment opportunities.

When registering your details with Legals 4 Lawyers, please ensure that the details you provide are correct. In providing us with your personal information, which you have submitted to us via the website or mobile or third party recruitment jobsboards, you are giving permission for us to contact you about future job opportunities.

Your right to Erasure

You have the right to request the deletion of all your personal/professional data, namely your CV and your contact details, for example, if the personal data is no longer necessary for the purposes for which they were provided or that you have successfully found employment and no longer wish to be registered with us. You may also withdraw your consent to processing.
